Gas Station Safe Deposit Box Usage and Management Regulations

This regulation is formulated to further improve the management of funds at gas stations and standardize the use of gas station safes. All gas station employees must strictly abide by the relevant provisions of this regulation.

I. The coin-operated safes uniformly configured in the system at gas stations (most gas stations) are mainly used to store the operating proceeds collected by gas station attendants and bookkeepers, including cash and checks; the ordinary safes are mainly used to store petty cash, seals, invoices and other important items.

2. Safes must be installed in a cashier's room or office that meets security requirements. Coin-operated safes should be fixed in place and are not allowed to be moved.

III. Safekeeping of Keys and Passwords

(a) The safe key and password must be kept separately by different people.

(ii) When the person in charge of the password changes, the safe password must be changed immediately.

IV. Safe Notification

To prevent robbery risks and ensure employee safety, the city company has standardized the safe signage: "Safes can only be opened by designated company personnel. Gas stations should post this signage in a designated location above the safes."

V. Procedure for Using Coin-Operated Safes

(a) Cash received and managed

1. The city company stipulates that gas station attendants and bookkeepers are allowed to carry a maximum of 3,000 yuan in cash, and the change allowance is 200 yuan per person.

2. At stations where cash is collected by gas station attendants, the cash should be deposited into the coin-operated safe according to the following procedure.

① The gas station attendant organizes the cash to be deposited into units of hundreds and thousands. ② The gas station attendant arranges the amount to be deposited into the deposit bag according to regulations and seals it.

③ During shift handover, gas station attendants should immediately count the cash on hand, seal the fuel payment in a deposit bag, and put it into the safe.

④ The deposit bags should be sorted by color by shift, and must be numbered and labeled with the employee's name to ensure they are not confused with those of other employees.

⑤ Gas station attendants should fill out the "Safe Deposit Record Form for Each Shift" to register each deposit and promptly deposit it into the safe.

When work is busy, employees should immediately deposit cash into the safe following the above procedure after serving each group of customers to reduce the risk of robbery. When depositing cash, ensure that all funds are completely placed into the safe for security.

(II) Open the safe and count the payment.

The coin-operated safe is opened jointly by the station manager and the bookkeeper. After the cash is withdrawn, it is moved to a secure room and handed over to the bookkeeper for verification and counting. After the cash is counted and verified, a "Safe Cash Verification Form" is filled out and signed by both the gas station manager and the bookkeeper. If the station manager is not present, the station manager must sign after the person who handled the transaction has done so.

For gas stations with high turnover, the station manager should count the day's sales revenue in the afternoon before the bank collects payment, and then submit it to the bank together. At the same time, a separate payment slip should be filled out for each sales amount according to the corresponding date, so that the amounts on the payment slips can be reconciled with the amounts in the "Daily Sales Report". If the cash cannot be deposited into the bank immediately after the day's count or if the bank needs to collect payment, the bookkeeper must seal the cash and deposit it in a safe. (Date indicated)

VI. Daily Management

11. The daily management of safes should be included in the daily management of gas stations and is one of the assessment items for supervision.

2. Any problems with the management of the safe will be dealt with in accordance with the detailed rules for the management of gas stations.

3. Gas station managers and bookkeepers (cashiers) must manage the safe in accordance with the regulations every day to ensure the safe operation of cash and checks.

4. The manager shall include the management of safes as part of the routine inspection work and conduct no less than two special inspections of the gas stations under his/her jurisdiction each month.

VII. Supplementary Provisions

1. The right to interpret this regulation rests with the Retail Management Department of the Municipal Company.

2. This regulation shall come into effect on the date of its issuance.
